From Sample Approval to Bulk Order: What Silicone Product Buyers Should Confirm

Before moving from an approved sample to a bulk order, confirm the sample version, final specification, quantity split, packaging, acceptance criteria, and authorization process. A positive reaction to a sample is not a complete production instruction.

The handoff matters because a sample may have been made for a limited purpose. It may demonstrate appearance but not final packaging, or use a reference feature that still needs revision. Your approval record should distinguish what is accepted from what remains open.

Identify the exact sample being approved

Record a version name, review date, photographs, and the specification used for evaluation. If several samples were reviewed, identify which one is the reference and why. Keep earlier versions separate to prevent accidental reuse of rejected details.

Where both parties retain reference samples, agree how those references will be identified. Record any differences between the retained sample and the intended production specification.

Close the revision list explicitly

Use a numbered list for requested changes. For each item, record the requirement, supplier response, verification method, and approval status. Avoid treating silence as approval.

If a minor revision will not receive a new physical sample, document how it will be checked and who authorizes that approach. Do not describe an unresolved feature as approved simply to keep the schedule moving.

Translate impressions into requirements

Comments such as “the color looks right” or “the finish feels good” need a shared reference. Agree on available color references, surface examples, measurements, or other review methods suitable for the feature.

Discuss permissible variation rather than assuming every production unit will be identical to a single sample in every detail. The specification should state what matters and how the result will be evaluated.

Approve packaging separately

Confirm artwork version, package dimensions, product fit, inserts, labels, and outer packing where applicable. An approved product sample does not automatically approve a packaging file.

Check that the packed unit matches your intended sales process. If you need retail presentation, do not assume a transport-protection package also meets that purpose. Ask for the relevant packaging review before approval.

Confirm the commercial order

Match the purchase details to the final specification: quantity by version, agreed prices, one-time charges, payment milestones, and delivery basis. Ask whether revisions since the original quote require an updated offer.

Define what must happen before production starts. Record the production, dispatch, and arrival milestones separately, including assumptions still subject to confirmation.

Agree on inspection and changes

Document the checks that will be performed, the reports expected, and the process for a result outside the agreed criteria. Identify who may authorize changes after production approval.

If a component, material, color, or packaging detail needs substitution, require an explicit review rather than an informal assumption that it is equivalent. Keep the updated specification and approval record together.

Frequently asked questions

Is approving a photograph enough?

A photograph can help review visible details, but it does not establish every physical or functional characteristic. Identify which decisions need measurements, documents, or a physical sample.

Can the quote stay the same after a sample revision?

It may, but do not assume so. Ask whether the revision affects the product, tooling, packaging, sampling, or schedule, and request an updated quotation if necessary.

What if I discover an issue after approval?

Contact the supplier promptly, identify the affected specification, and ask what work has begun. Review the proposed change, cost, and timing before authorizing the next step.

Prepare a clear production handoff

Discussing a project with Pygmalion Factory? Use our existing Contact or OEM/ODM & Wholesale Partnerships page to share your current sample status, revision list, and order requirements. Ask which approvals are still needed before the project can move forward.

A documented handoff helps turn a promising sample into a clearly defined purchasing decision.
